Terms of service

These terms (“Terms”) govern your use of Quillinvoicing software (“Quill”, “the Service”) operated by Quill. By creating an account or using Quill, you agree to these Terms. If you do not agree, do not use the Service.
The Service
Quill provides invoicing, estimates, VAT summaries, bank-feed matching, and related features for UK tradespeople and small businesses. We may update, add or remove features from time to time. We aim to give reasonable notice of material changes that affect how you use the Service.
Accounts
You must provide accurate registration information and keep your login credentials secure. You are responsible for all activity under your account. Notify us immediately at support@quillinvoices.co.uk if you suspect unauthorised access.
Subscription and pricing
Quill Pro is billed at £7.99/month (prices include VAT where applicable). A 14-day free trial is available for new subscribers; you will not be charged until the trial ends unless you cancel before it expires.
Subscriptions renew automatically each billing period. Payment is processed securely by Stripe. By subscribing, you authorise recurring charges to your chosen payment method until you cancel.
Cancellation and refunds
You may cancel your subscription at any time through the Stripe customer portal (linked from your Quill account settings). Cancellation takes effect at the end of the current billing period; you retain access until then.
We do not generally offer refunds for partial billing periods. If you believe you were charged in error, contact support@quillinvoices.co.uk within 14 days and we will review your case.
Acceptable use
You agree not to:
- Use Quill for unlawful purposes or to issue fraudulent invoices
- Attempt to gain unauthorised access to our systems or other users’ accounts
- Reverse engineer, scrape or overload the Service
- Upload malware or content that infringes third-party rights
- Resell or sublicense the Service without our written permission
We may suspend or terminate accounts that violate these rules or pose a security risk, with notice where reasonably practicable.
Your content
You retain ownership of invoices, customer data and other content you create in Quill. You grant us a limited licence to store, process and display that content solely to provide the Service (including generating PDFs and sending emails on your behalf). You are responsible for ensuring your invoices comply with UK tax and trading standards requirements.
Third-party services
Quill integrates with third parties including Stripe (payments), open-banking providers (bank feeds), and CertVault (certificate integration). Your use of those services is also subject to their respective terms. We are not responsible for third-party outages or policy changes beyond our reasonable control.
Availability and support
We aim for high availability but do not guarantee uninterrupted access. Scheduled maintenance will be communicated where possible. Support is available at support@quillinvoices.co.uk on business days.
Disclaimer of warranties
The Service is provided “as is” and “as available”. To the fullest extent permitted by law, we disclaim all warranties, express or implied, including fitness for a particular purpose. Quill is a tool to help you create invoices; it does not constitute tax, legal or accounting advice.
Limitation of liability
To the maximum extent permitted by applicable law, Quill shall not be liable for any indirect, incidental, special, consequential or punitive damages, or for loss of profits, data, goodwill or business opportunity arising from your use of the Service.
Our total aggregate liability for any claims relating to the Service in any 12-month period is limited to the greater of (a) the fees you paid to us in that period or (b) £100. Nothing in these Terms excludes liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded under English law.
Indemnity
You agree to indemnify us against claims arising from your misuse of the Service, your invoice content, or your breach of these Terms, except where caused by our negligence or wilful misconduct.
Governing law
These Terms are governed by the laws of England and Wales. Disputes are subject to the exclusive jurisdiction of the courts of England and Wales, without prejudice to your statutory rights as a consumer.
Changes
We may update these Terms from time to time. We will notify account holders of material changes by email or in-app notice at least 14 days before they take effect. Continued use after the effective date constitutes acceptance.
