Bank matching

Connect your bank or import a CSV and let Quill match payments to invoices automatically.

Matching bank payments to invoices is the bit most trades skip — until VAT quarter rolls around and the spreadsheet doesn’t add up. Quill connects to your bank (or reads a CSV export) and suggests matches so you confirm with one tap, not a Sunday of cross-referencing.

Connect via Open Banking

In the app, go to Settings → Bank and choose Connect bank. Quill uses UK Open Banking to pull read-only transaction data from your business account — Starling, Monzo, Barclays, HSBC, Lloyds, NatWest and most high-street banks are supported.

The connection refreshes automatically. New credits (money in) appear in your Bank matching queue within a few hours of landing, ready to pair with open invoices.

Import a CSV instead

If your bank doesn’t support Open Banking yet, or you prefer a manual export, download a CSV from your online banking and upload it in Bank → Import CSV. Quill accepts the standard column layouts most UK banks export (date, description, amount).

CSV import is one-off per file — useful for catching up on a backlog, or if you only reconcile weekly. You can use Open Banking and CSV together; duplicates are filtered out.

How auto-match scoring works

For each incoming transaction, Quill scores open invoices by how closely they fit:

  • Amount— exact match ranks highest; part-payments and combined payouts are handled separately
  • Reference text— invoice numbers or client names in the payment reference boost the score
  • Date proximity— payments near the due date rank above random credits from months ago
  • Client history— repeat payers who always use the same reference pattern get recognised faster

The best match surfaces at the top of the queue. Lower-confidence suggestions stay visible so you can pick manually if the customer paid a rounded figure or used an odd reference.

One-tap confirm and undo

When the suggestion looks right, tap Confirm match. The invoice marks as paid, the transaction links to that invoice, and your income reports update immediately.

Got it wrong? Tap Undoon the match — the invoice reopens, the transaction goes back to unmatched, and nothing is deleted. Quill never hard-deletes payment history; undo is always available until you’re sure.

Bundle matching for card payouts

Stripe and SumUp don’t pay you one transaction per invoice — they bundle a day’s takings into a single payout with fees deducted. Quill’s bundle matching lets you link one bank credit to multiple invoices paid by card that day.

Select the payout, tick the invoices it covers, and confirm once. Fees can be recorded separately so your books reflect what actually hit the bank, not the gross card total.

Security: read-only access

Quill’s bank connection is read-only. We can see transactions to suggest matches — we cannot move money, set up standing orders or access your login credentials. Open Banking tokens are encrypted and can be revoked anytime from Settings → Bank → Disconnect.

Your invoice and client data stays in Quill; bank data is used only for matching and reporting. If you disconnect, historical matches remain on your invoices for audit purposes.
