CertVault integration

Import remedial work from EICR certificates straight into draft invoices and estimates.

If you produce EICRs in CertVault, you shouldn’t retype every C2 observation into an invoice on the way home. Quill connects directly to CertVault so remedial work you scope on-site becomes draft invoice or estimate lines — with codes, descriptions and photos intact.

Connect CertVault to Quill

You need active accounts in both apps. In CertVault, open Settings → Integrations → Quilland sign in with your Quill credentials. CertVault stores a secure API token — not your password — and shows a green “Connected” status when the link is live.

In Quill, check Settings → Integrations to confirm CertVault appears as connected. You only set this up once per company; every engineer on the CertVault account can push to the same Quill workspace (subject to your CertVault permissions).

What flows through from an EICR

When you send remedial work from a certificate, Quill receives a structured payload — not a PDF you have to parse by hand:

  • Observation codes— C1 (danger present), C2 (potentially dangerous), C3 (improvement recommended) and FI (further investigation) each become their own line or grouped lines with the code visible to the customer
  • Descriptions— the fault text you wrote in CertVault (e.g. “No RCD protection on kitchen ring final circuit”) carries over as the line description
  • Photos— images attached to an observation in CertVault appear as line-item photos in Quill, so the customer sees the cracked socket or missing bonding, not just a line total
  • Property and client context— job address and client details map to the draft invoice header where CertVault has them

You choose whether to create a draft estimate (quote first) or a draft invoice(bill directly) from CertVault’s send dialog.

Idempotency: no double billing

Network drops and double-taps happen on site. CertVault sends each import with an idempotency keytied to the certificate and observation set. If the same send is retried, Quill recognises it and returns the existing draft — it does not create a second invoice for the same fault.

That means you can safely retry a failed push from a poor signal area without worrying you’ll bill the customer twice for one RCBO upgrade.

Editing drafts before you send

Imports land as drafts, not sent invoices. Open the draft in Quill and:

  • Adjust quantities, rates and labour vs materials split
  • Add or remove lines (e.g. bundle three C3 items into one visit charge)
  • Switch from estimate to invoice, or vice versa, before sending
  • Attach a Stripe payment link and pick your PDF template as normal

Once sent, payment status syncs back to CertVault so you can see which observations have been billed without opening two apps. Estimates converted to invoices update the link automatically.

Typical workflow

  1. Complete the EICR in CertVault and record C1/C2/C3 remedial items with photos
  2. Tap Send to Quill and choose estimate or invoice
  3. Review the draft in Quill, adjust pricing, send to the customer
  4. Customer pays; bank matching or Stripe marks the invoice paid
  5. CertVault shows the observation as billed — no duplicate entry
