Getting started
Create your account, set up your company details and send your first invoice.
Quill is built for trades who invoice from the van — not from a spreadsheet on Sunday night. This guide walks you from a blank account to a sent invoice in under ten minutes.
Create your account
Head to app.quillinvoices.co.uk/auth and sign up with email and password, or use Google if you prefer one tap. No card is required to start — you get a full 14-day trial with every feature unlocked.
The trial is long enough to run a real job through: set your company details, send an invoice to a customer, and see how bank matching works when they pay. If Quill isn’t for you, cancel before day 14and you won’t be charged.
Set up your company details
Before you send anything, open Settings → Companyin the app and fill in the basics. These appear on every PDF and public invoice link, so it’s worth doing once properly:
- Trading name and address— what your customers expect to see on the letterhead
- VAT number— if you’re VAT registered, add it here; Quill calculates and shows VAT at 20% on every line automatically
- Bank details— sort code and account number for customers who pay by bank transfer (shown on PDFs alongside any Stripe payment link)
- Logo— upload your company logo; it appears on PDF invoices and estimates so they look like yours, not a generic template
- Default payment terms— e.g. “Due within 14 days” so you’re not typing it on every job
If you’re CIS registered as a subcontractor, toggle CIS handling in Settings so deductions are tracked correctly on relevant invoices.
Add your first client
Go to Clients and tap New client. At minimum you need a name and an email address (for sending invoices). Add the billing address if it’s different from the job site — useful when you invoice a landlord but worked at a tenant’s property.
You can also add clients on the fly while creating an invoice; Quill saves them to your address book automatically.
Send your first invoice
From the dashboard, tap Quick invoice (or use the command palette with ⌘K on Mac / Ctrl+K on Windows). Then:
- Pick the client you just created
- Add line items — labour and materials split if you can; it reads clearer to customers
- Check the total and VAT breakdown
- Attach a Stripe payment link if you want them to pay by card in one tap
- Send by email, or copy the WhatsApp share text for a quick message on site
The customer gets a public link to view and pay the invoice — no login required on their side. You’ll see when they open it and when payment lands.
